Board Position Duties

The Chair (President) shall:

  • Preside at all meetings of the association;
  • Perform such other duties as may be prescribed in these bylaws or assigned by the association;
  • Be an ex officio member of all committees except the nominating committee;
  • Coordinate the work of the officers and committees of the association in order that the Purposes may be promoted;
  • Have co-signing authority, with the treasurer, for PTA checks and disbursements;
  • Coordinate all fundraising events and activities for the PTA

The Co-Chair (Vice-President) shall:

  • Act as aide to the president;
  • Perform the duties of the president in the absence or inability of that officer to serve;
  • Perform such other duties as may be assigned by the association.

The Communications Chair (Secretary) shall:

  • Record the minutes of all meetings of the association;
  • Have a current copy of the bylaws;
  • Maintain an up-to-date membership list;
  • Publicize all PTA meetings and events;
  • Perform other duties as assigned.

The Treasurer shall:

  • Have custody of all the funds of the association;
  • Keep a full and accurate account of receipts and expenditures;
  • Report on all current fundraising events and activities.
  • Make disbursements as authorized by the president, executive board, or association in accordance with the budget adopted by the association
  • Have checks or vouchers signed by two authorized persons (the treasurer and one other);
  • Present a financial statement at every meeting of the association and at other times when requested by the executive board;
  • Make a full report at the meeting at which new officers officially assume their duties (usually the annual meeting);
  • Be responsible for the maintenance of such books of account and records as conform to the requirements of Article V, Section 4 of these Bylaws and State Bylaws, Article VI, Section 5;
  • Have the accounts examined annually or upon change of officers by an auditor or an auditing committee of not fewer than three members, who, satisfied that the treasurer’s annual report is correct, shall sign a statement of that fact at the end of the report;
  • Submit the books annually for an audit by an auditing committee selected by the executive board at least two weeks before the meeting at which new officers assume duties.

The Volunteer Coordinator shall:

  • Recruit volunteers for PTA event committees
  • Publicize Volunteer Orientations to be conducted at the beginning of the school year
  • Maintain the online volunteer sign-up website
  • Maintain the "Volunteer" section of the PTA website
  • Publicize volunteer opportunities throughout the school year via the Splash, facebook, Room Parents, school emails
  • Provide input in the recruitment of next year's PTA and volunteer positions to the nominating committee
  • Annually edit and provide PTA informational flyer for the Fall Packet

The Room Parent Coordinator shall:

  • Recruit volunteers for the Room Parent program
  • Organize a Room Parent Orientation meeting at the beginning of the school year
  • Forward special event and volunteering opportunity communications to the Room Parents throughout the year
  • Plan an end of the year Room Parent social hour

The Special Events Chair shall:

  • Coordinate all family events and activities for the PTA;
  • Report on all current family events and activities, including getting budgets approved for each event.
The Parent Volunteer Coordinator shall:
  • Facilitate interactions between volunteer opportunities and parent volunteers, including a Room Representative Program;
  • Maintain a database with parent volunteers with their interests.

The Green Chair shall:

  • Plan and lead Green Committee meetings;
  • Serve as point-of-contact for staff, parent and community questions about green matters in our school;
  • Encourage green efforts or awareness to the extent possible in school programming;
  • Maintain a list of green accomplishments for reference.
